Facilities Manager

Ogilvy Public Relations is seeking an experienced office operations professional with experience in both facilities management and HR administration to support our Washington, D.C. office as the Facilities Manager. The Facilities Manager will serve a primary and independent role in the smooth administration and operations of our new 40,000+ square foot office of 200 employees. This position reports directly to the Senior Vice President of Human Resources and will deliver exceptional customer service in this hands-on facilities management role.
In this critical role, you will use your strong negotiation and communication skills to ensure positive and productive relations with vendors and building management. Your problem-solving capabilities and responsiveness will be tapped daily to meet the needs of this busy workplace. And as a member of our HR team, you will work closely with other HR team members to ensure smooth operations for hiring and on-boarding, as well as other HR processes and initiatives.
Responsibilities:
* Manage and oversee the Office Services team and functions in the Washington, D.C. office, including mail/distribution, office equipment, records management, telephone equipment and service, reception, procurement, facilities, and project management
* Working closely with team members in HR (SVP of HR, Senior HR Generalist, and Recruiting Director) share responsibility for several HR administrative processes including new hire administration and the coordination of various HR-related activities
* Manage vendor relationships in a timely, professional and cost effective manner
* Act as a liaison between building management and the office
* Serve as point of contact for DC-based employees for facilities questions and issues
* Responsible for workspace assignment and layout, ensuring timely set up of workstations/offices for new hires, and making recommendations for seating arrangements that facilitate teamwork, efficiency and productivity
* Fulfill supervisory responsibilities for Office Services staff including hiring, performance evaluations, training, coaching, etc.
* Adhere to Office Services budgets using sound fiscal judgment and strong negotiating skills; approve purchases for the office and oversee the processing of invoices/purchase orders
* Lead disaster response and safety planning initiatives
* Partner with Senior Management, Human Resources and Corporate Operations staff to proactively address ongoing and new office and staff needs
Required Qualifications:
* Minimum of 7 years of work experience in progressively responsible administrative management positions such as office management or facilities management; background must include both facilities management and administrative aspects of Human Resources
* Facilities management background should reflect significant experience with vendor management, landlord-tenant relations, intra-office moves, and space planning
* Human Resources background should reflect experience and familiarity with HR administrative paperwork and processes
* Proven relationship building and management skills demonstrating the ability to work effectively with diverse groups of people including staff, vendors and building management
* Must have a hands-on, participatory management approach and a willingness to “roll up your sleeves” to meet a high volume of daily demands
* Must possess a strong customer-service orientation and a strong sense of urgency to meet the needs of internal clients
* Excellent verbal and written communication skills
* Demonstrated supervisory and team leadership skills
* Comfortable managing multiple priorities in a fast paced environment
* Excellent problem solving and negotiation skills
* Proficient with the MS Office Suite, particularly Excel and other typical office technologies
Preferred Qualifications:
* Prior office or facilities management experience in a professional services firm (consulting, law firm, advertising, etc.)
* Bachelor’s degree
