Rapidly growing firm seeks experienced, professional, and multi-talented Certified Meeting Planner to assist with multiple projects. Experience with Federal and/or State grant application support and peer reviews a plus. Provides direct support for multiple projects at the Washington DC area office and in the Landover, MD area office. Tasks will include a broad range of duties. Most day-to-day duties will involve assisting the various project manager(s) and staff with misc. logistics/travel arrangements and misc. administrative tasks. MUST HAVE CERTIFIED MEETING PLANNER - CMP CERTIFICATION, WITHOUT EXCEPTION. CMP Certification must be current. Must have professional level customer service skills and be able to thrive in a high pace work environment. Must have experience with virtual/web-based as well as on-site Federal/State grant application review processes and software. Must have experience working with virtual/web-based data base management system(s).
Logistics tasks: assist with all aspects of logistics support including but not limited to:
• Pre-event tasks: client needs assessment, site selection, food/beverage, audio/visual, travel logistics, participant recruitment, data collection, virtual/web-based data management, materials/agenda development, room assignments, supplies/vendor management, training/organizing of on-site team, and contract negotiations.
• On-site tasks: management of event, anticipation of emergencies, pro-active implementation of changes, professional customer service, last minute contract adjustment negotiations, and on-site bill/contract reconciliation.
• Post-event tasks: return travel logistics management, follow-up bill/contract review, travel expense report processing, surveys and evaluations, data analysis, event report development, wrap-up meetings, and distribution of event media and information.
Misc. Administrative tasks: assist with all administrative tasks including but not limited to: answering phone calls and directing or answering inquiries on behalf of the senior staff; filing; scheduling meetings; managing workflow of current client needs; and other general administrative support.
REQUIRED TECHNICAL SKILLS:
Must have excellent computer skills including proficiency in MS Word, Excel, Access, Outlook, PowerPoint, Visio, Adobe Acrobat, event planning software and other various software.
OTHER DUTIES:
Position reports directly to the Project Manager(s). Ideal candidate will be a ‘jack-of-all-trades’ that is highly skilled in multiple areas and is a team player willing to assist with duties at all levels. Ideal candidate will be self-motivated, able to trouble shoot and solve problems independently, and able to take the initiative and make sound decisions with minimal oversight. Attention to detail is a must. Ability to handle multiple tasks and prioritize while under deadlines. Organization, communication, customer service, and a willingness to take on challenges are keys to success in this position. The individual will also be experienced working closely with senior staff and comfortable at handling highly confidential information while maintaining its integrity. Excellent oral and written communication skills required.
Responsible for scheduling and prioritizing own work. Makes technical, budgeting, and scheduling decisions with minimal supervisory input on assigned projects. Operates associated tools and equipment required to perform functions of the job. Abides by and adheres to all normal safety or security rules and regulations. Reports infractions of safety or security rules and regulations. May operate material handling equipment. May be responsible for leading or providing work direction of other faculty, technical personnel, and/or contractors. May also oversee facilities planning and maintenance and custodial operations, as needed. Responsible for keeping office space organized, supplied, and office technology operational and maintains relationships with vendors. Performs other duties as required or assigned, which are reasonably within the scope of the duties and job description listed above.
