This position will be responsible for the Vice President of Policy’s agenda in all respects to communicate and integrate the vision, and further the mission of IntraHealth with particular focus on his calendar of activities, management of work flow and deliverables, complex or confidential projects, as assigned, and strategic external relationships and affairs. S/he will be responsible for design and implementation of streamlined systems that facilitate the smooth operations of the HRHQS Project and Policy Division. S/he will work closely with the Vice President to develop the Division budget and will implement and maintain detailed tracking and monitoring mechanisms for monthly financial reports and forecasts.
S/he will play a vital role in a variety of projects and tasks regarding confidential information and will need to maintain discretion. The position will report to the Vice President of Policy and will work closely with HRHQS project leadership, other Vice Presidents within the context of the Division’s activities, and IntraHealth staff members, globally and at all levels.
ESSENTIAL FUNCTIONS
• Effectively communicate on behalf of the Vice President, both internally and externally, liaising with other department staff at all levels and maintaining strategic relationships with other leaders in the global health community, key organizational stakeholders, partners, clients, country leadership, etc.
• Ensure that the Vice President has exposure globally at key strategic events and that his activities are broadly recognized and communicated, both internally and externally.
• Working closely with other departments (human resources, communications, development, programs, and finance) and key external contacts, s/he manages, coordinates and facilitates the advancement of HRHQS Project activities and Division objectives.
• Conduct in-depth research on relevant persons and topics including global health leaders, high-profile donors, politicians, countries, and foundations to assist the Vice President in preparations for meetings and presentations. Ensures that the Vice President is appropriately prepared for all internal and external events and meetings, including preparation of documents, reports and presentations, as needed.
• Manage the daily schedule of the Vice President, including meetings, travel and other pending tasks and responsibilities; stay cognizant of changing situations and priorities, and make independent decisions on re-balancing priorities as required.
• Maintain open task lists for the Vice President and monitor task assignments delegated to others; monitor and oversee performance, deadlines and resource requirements on his behalf.
• Through IntraHealth travel personnel, coordinate all travel arrangements for the Vice President, including all requirements for domestic and international travel (e.g., oversee proper and timely processing of visa applications, monitor correct use of Task Codes, process expense reports) within organizational policies.
• Coordinate and participate in various meetings and conference calls maintaining accurate records as needed. Coordinate visitor events and liaise between visitors and staff. Coordinate logistics for internal and external meetings, ensuring organizational policies are followed
• S/he will develop and manage the Global Policy Division budget, including quarterly forecasts and updates. S/he will maintain accurate and detailed tracking systems of monthly accounting and expenditures related to the Division budget, including accruals, remaining cognizant of financial status and position at all times.
• Create, organize and maintain the Global Policy Division SharePoint site, and others as appropriate, ensuring information is current and all files and documentation are appropriately stored.
EDUCATION/EXPERIENCE REQUIREMENTS
• Bachelor’s degree and at least five years’ related experience in a role supporting a Vice President/C-Level Executive or corresponding relevant work experience.
• Demonstrated ability to frequently exercise advanced levels of judgment, tact, confidentiality and diplomacy and adapt to rapidly changing priorities and influences.
• Demonstrated experience representing an organization to external stakeholders; clients and vendors, including experience and ease in communicating across global origins, with influential leaders and high net worth individuals.
• Demonstrated experience planning and organizing special projects, events and meetings.
• Proven ability to work in teams, and with different personalities and organizations.
• Experience taking on significant responsibility and exhibiting leadership.
• Proven ability to write and edit correspondence, reports, presentations and other documents.
• Two or more years experience working in a non-profit setting, preferably with a national or international focus and the ability to travel (nationally and/or internationally) as needed.
• Exceptional command of the English language demonstrated by excellent written and verbal communication skills
• Advanced skills in Microsoft Word, Excel, PowerPoint, graphics and Outlook; SharePoint experience highly desired
