Meetings and Operations Assistant
Established non-profit arts organization seeks a Meetings and Operations Assistant. This new key membership and meetings support position is responsible for multiple tasks. This position reports to the Membership and Meetings Director and works closely with the rest of the membership staff. Primary Meetings Duties:
• Data entry and financial processing for conference registrations
• Answering Annual Meeting inquiries from attendees and speakers
• Meeting administrative duties including badge and registration packet creation
• Assisting the Membership and Meetings Director with pre-planning, on-site execution, and post event wrap up to ensure a smooth and successful meeting. This will include assisting in the creation of menus, coordinating audio/visual needs, and offsite event support.
Primary Operations Duties:
• Data entry and financial processing for membership applications/renewals and publication orders
• Answering general association inquiries from members and the public
• Providing excellent customer service to AIC members and the public by phone and email
• Ordering supplies and services for the association
• Providing administrative support to the Membership and Meetings Director and the membership department.
Requirements/Skills Needed:
• Undergraduate College Degree
• Experience with entering data in a web-based membership database in a time sensitive environment
• Knowledge of the Microsoft Office Suite especially MS Word and Excel
• Web-based research skills
• Excellent customer service and time management skills
• Ability to plan and organize your work and to set priorities in a fast paced environment
• Excellent written and oral communication skills
• Flexibility to manage a job with multiple facets
• Works well as part of a team, but also able to work independently
• Able to take direction, but also able to take initiative when needed
• Able to travel (by plane) to the Annual Meeting for one week out of the year
• Can lift up to 30 pounds.
Would prefer 1-2 years of administrative, meeting planning, or customer service experience, after college, in an association or non-profit. However, we will consider recent college graduates meeting the skills listed above. Entry level salary which includes an excellent benefits package.
