The British Embassy in Washington, DC is seeking a Purchasing Co-ordinator to join the Central Prism Team (CPT). Prism is a global Oracle-based system that is operated within the Foreign and Commonwealth Office (FCO) sector of the British Government, both in the United Kingdom and throughout the world to British Embassies and Consulates. Prism is a key management tool within the organisation, through which the FCO manages its financial, procurement and personnel information.

The CPT provides purchasing services and expert Prism support to the Embassy in Washington. Additionally the team acts as a Shared Services centre for the US network, by undertaking all core purchasing activities and providing expert guidance to the network. The CPT is also a centre of Prism expertise for the US network and plays a significant role in educating staff and training non-core Prism users.

Main Duties and Responsibilities:
- Carry out Prism requisitioner and buyer functions for the US network including creation of requisition, purchase orders and long-term/open purchase orders.
- Create and maintain of Prism supplier sites.
- Proactive management of Prism housekeeping tasks, including resolution of Invoices on Hold and Goods Received Not Invoiced issues.
- Provide of guidance to US network posts on Prism housekeeping activities.
- Answer Prism and purchasing related enquiries from the US network and providing guidance wherever necessary.
- Liaise with Finance team (Accounts Payable) and a wide range of network stakeholders to resolve payment processing issues.
- Contribute to UK returns including CACL (Current Asset, Current Liability) reporting.
- Provide training and guidance material for employees through different communication methods including the Embassy Intranet, Finance Fundamentals and the Prism User Group.
- Provide office coverage and administrative support as needed.
- Perform other duties as assigned.
- Adhere to Embassy audit and procurement procedures.

Requirements:
- 1 to 2 years administrative/receiving experience.
- Ability to multi-task, and a proven track record of working in a fast paced team environment.
- Excellent written and oral communication skills.
- Outstanding customer service skills.
- Proficient with Microsoft Office suite of programs, specifically MS Word, Excel, Access, and Outlook.
- Experience with Oracle preferred.

Under US State Department requirements, the Embassy may only employ, as non-diplomatic staff, persons who are US citizens, US Green Card holders or A Visa holders. If you hold a Visa other than an A Visa you are not currently eligible to work at the Embassy.
