Job Title: Maintenance Supervisor

SUMMARY:
Maintains physical condition of the entire property. Supervision of orientation for housing unit turnovers, inspections, communication with management office on schedules, meetings, and projects. Supervise and designate daily and weekly work schedules and routines. Prepare maintenance paperwork, budgets, updates and forecasts. Responsible for engaging use of outside contractors as needed in accordance with organizational policy and procedure. Assists Property Manager in performing his/her duties. The individual must have own tools, reliable transportation, and be available on a rotating 24/7 on-call basis. Individual should be able to live on-site when required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as needed.
SUPERVISORY DUTIES:
" Regularly report for work on time; adhere to company policy regarding breaks and lunches.
" Regularly work full shift.
" Interact with residents, co-workers, supervisors and other parties in a consistently professional, polite, and courteous manner.
" Able to effectively address and resolve residents' customer service issues.
" Abide by all federal, state, and local fair housing laws and statutes.
" Determine from blueprints, drawings, plans, sketches, and other specifications, or from own personal knowledge, type and quantities of materials and equipment required to complete assigned tasks.
" Make daily inspections of the property.
" Communicate maintenance concerns and physical plant issues along with recommendations for resolution to management.
" Meet with Property Manager daily to report on status of all scheduled work.
" Establishes preventive maintenance schedule.
" Maintain up-to-date preventive maintenance information (e.g. location of extra parts for appliances, equipment serial numbers, and service telephone numbers).
" Know current condition of all vacant units.
" Prioritize work orders.
" Establish daily work schedules for maintenance staff.
" Follow up on work assignments to ensure timely completion and proper documentation of all work assignments.
" Maintain records of types and frequency of each service request received.
" Assist in establishing and keeping current all maintenance-related records.
" Follow an emergency maintenance on-call schedule and post/distribute emergency telephone numbers.
" Maintain a current inventory log of property-owned equipment, tools, and supplies.
" Make management-authorized purchases of supplies, equipment, and services.
" Assist with move-in and move-out procedures including, but not limited to, inspections with residents.
" Identify services needed and solicit bids/proposals - provide to all potential contractors a scope of work and insurance requirements.
" Make recommendations for contract service awards and monitor contractor(s); sign off on contract upon satisfactory completion of work.
" Train new maintenance staff members.
" Hold regular instruction classes for Maintenance Technicians and Porters.
" Assist with annual job performance evaluation of maintenance staff.
" Keep workshop/utility room clean, safe and organized.
" Assist with any emergency maintenance, as needed.
" Consistently adhere to company policies and procedures as outlined in the Employee Handbook and other company policy and procedure manuals.
MAINTENANCE DUTIES;
" Obtain thorough knowledge of location and operation of property's:
o Power, water and gas turnoffs
o Clean out traps
o Fire monitoring systems, alarm boxes, extinguishers, and hydrants
" Assist in all aspects of maintaining the property including grounds, custodial, capitol improvements, preventive, corrective, deferred, and emergency maintenance:
o Maintain exterior and public lighting throughout the property
o Clear and maintain gutters and downspouts
o Repair structural wear and damage to buildings on the property
o Care for lawn, plants, shrubs, and flowers
o Clean parking areas, sidewalks, alleyways, hallways, and common areas
o Prepare vacant units for occupancy in accordance with organizational standards
o Paint as needed
o Competently perform repairs in the following areas: mechanical related to small and large appliances, plumbing, electrical systems, HVAC, carpentry, equipment, and hardware
o Properly dispose of trash in common areas of the property; ensure garbage area is cleaned regularly
o Notify management of any and all life/safety issues that are present on the property; make recommendation for resolution.
SUPERVISORY RESPONSIBILITIES:
Directly supervises maintenance employees at the property. Carries out supervisory responsibilities in accordance with organizational policies and procedures and applicable laws. Responsibilities include recruiting, interviewing, and training maintenance employees. Also responsible for planning, assigning, and directing work; appraising job performance; addressing employee and resident issues and concerns and resolving problems.

EDUCATION and/or EXPERIENCE:
High school diploma or equivalent. Minimum 4 years of residential facilities maintenance experience and/ or training. 6 months or more of budget preparation experience desired.
LANGUAGE SKILLS:
Ability to read, comprehend and interpret documents such as schematics, operating and maintenance instructions, contracts, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information (verbally and in writing) in one-on-one and small group situations to residents, vendors, and other employees of the organization. Ability to comprehend and respond to verbal and written information conveyed by residents, vendors, contractors and other employees of the organization.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Able to compute rate, ration, and percent and to interpret spreadsheets and invoices.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written or verbal form. Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS:
Type I and Type II AC Certification; Universal AC Certification preferred
3rd Class Boiler Operations License preferred
