RESPONSIBILITIES:
1. Primary responsibility is to assist the President/Chief Executive Officer in day-to-day business activities; manage e-mail, calendar and voice-mail; handle highly confidential and sensitive matters with discretion and tact; act as liaison to NCCF staff and directors; facilitate high-level communications in accordance with donor and leadership requests; coordinate tasks and post-meeting action items; communicate with all CureSearch constituencies and exercise independent judgment.
2. Administer organizational requirements of the Board, including consolidation of Board Meeting materials, coordination of Board members’ schedules, coordination with hotel staff or NCCF Meeting Planner Consultant for meeting support, attendance at Board meetings as necessary; assistance with on-site business/travel needs of Board of Trustees members and recording of meeting minutes.
3. Organize and coordinate meetings and conference calls for the President/Chief Executive Officer, including communications with CureSearch NCCF Board, Executive Committee, Finance Committee, Senior Staff and other partners and constituents.
4. Make all necessary travel arrangements; compile and provide briefing documents agenda/itinerary for President/Chief Executive Officer and key leadership staff as appropriate. Prepare and organize expense reports and travel receipts.
5. Organize, coordinate and attend office and department meetings; draft, finalize and distribute meeting agendas and other required documents.
6. Maintain and organize President/Chief Executive Officer files and legal documents.
7. Revise, draft and/or proof correspondence and communications.
8. Prepare PowerPoint and other multi-media presentations.
9. Synchronize staff efforts to meet requirements of outside counsel to effect timely submission of required documentation to renew trademarks with U.S. Patent and Trademark Office (USPTO).
10. Facilitate contract execution and monitor status of licensing agreements with corporate partners; work with Communications and in-house counsel to review and approve agreements; submit completed agreements to President/Chief Executive Officer for sign off.
11. Monitor division-related Policies and Procedures to conform to new format, utilizing existing policy and procedure documentation and seeking additional information as necessary.
12. Coordinate own activities with other administrative support staff in the Executive Offices.
13. Provide support with special projects.
14. Represent CureSearch NCCF Executive Offices in a positive manner to many constituencies.
POSITION REQUIREMENTS:
• Bachelor’s degree in business, science or related field preferred.
• Minimum experience of five years serving as an EA to a business or nonprofit executive.
• Minimum experience of three years working with Board of Directors and Trustees.
• Strong communication, judgment, interpersonal and time management skills. Able to interact with constituents at many levels. Able to handle matters of a confidential and sensitive nature.
• Ability to manage complex projects from planning through implementation with minimal direction and support, including strong organizational skills and with high attention to detail.
• Ability to handle multiple projects, as assigned, set priorities and meet deadlines.
• Strong working knowledge of computers and highly skilled user of the Microsoft Office Suite (specifically: Word, Excel, Power Point and Outlook); ability to learn new software, as necessary.
• Ability to compose letters and memos, and to create spreadsheets and PowerPoint presentations.
• Ability to take accurate minutes and notes; speedwriting a plus.
• Excellent spelling and grammar are a must.
