Purpose of Position: Provide central administrative support in such areas as application processing, peer review, affiliation and pre- and post-selection services to U.S. and Visiting Fulbright Scholar Programs in accordance with policies and procedures of CIES/IIE, the J. Assist in the planning and implementation of CIES events including peer review, visiting scholar events, U.S. scholar orientations and global program events. • Prepare routine and special program mailings as assigned

• Assist with information gathering, data entry and SEVIS Web application maintenance related to the issuance of SEVIS immigration forms as overseen by Alternate Responsible Officer (ARO), as well as the subsequent preparation and mailing of such materials

• Set up U.S. and visiting grantees in the U.S. Department of State Accident and Sickness Program for Exchanges system
<br>

• Process and track receipt of U.S. and visiting grantee and dependent medical forms, communicate with staff and serving as liaison with Fulbright medical officer (back up role)

• Provide additional administrative support to regional units during peak work cycles
<br>

• Collaborate with assistant director and program officers on development  of training system, materials and schedule for all program staff

<description><![CDATA[This position serves as the Conference Manager on one or more contracts/projects, assigning tasks to the Conference Coordinator and Conference Assistants, and coordinating a wide range of conference/meeting management areas, including planning, progress reporting, budgeting, timeline monitoring, and quality assurance.  <br>
Candidate must have an undergraduate degree in social science or related field; and at least five years of conference/meeting planning management experience. Must be certified in Meeting Management (e.g., CGMP, CMP, CMM, etc.) or able to acquire within 6 months. Must be knowledgeable of MS Word, Excel, and Power Point. Graphic design is a plus.<br>
<br>
<br>
•	Apply experience and expertise in conference management and planning for meetings of 10 – 1,500 attendees.<br>
•	Coordinate and/or conduct site surveys, negotiate hotel contracts, serve as hotel liaison, and manage all aspects of hotel arrangements, including rooming lists, meeting room, food and beverage arrangements, audio-visual equipment, and post-conference billing.<br>
•	Develop and manage accurate participant database and generate participant correspondence (invitations, confirmations, thank you letters, etc.) and monitor registration reports, rooming lists, and other documents.<br>
•	Oversee coordination of participant and/or staff travel ensuring compliance with all applicable regulations and contract requirements.<br>
•	Provide on-site assistance for meetings, conferences, and events, as needed. <br>
•	Prepare monthly status reports, quarterly report work plans, and other project related technical reports and correspondence.<br>
•	Work directly with Federal Project Office and Contract Office on obtaining approval for conference and travel-related requests.<br>
