HR Assistant - This position supports a busy staff recruiting department of prominent global law firm in Washington, DC.
**Interviews will be remote and all work is remote during the COVID shutdown.
Maintain data integrity of applicant tracking system (viRecruit); logging candidate information, including resumes, interviews and other related documents
Post position vacancy advertisements and notices to internal/external online recruiting resources
Communicate position requirements to agency recruiter/candidates; maintain/disperse agency job vacancy list to recruiting contacts and update/maintain agency e-mail distribution groups
Organize/lead new employee orientations
Validate new hire I-9 documents and confirm work authorization for new hires
Respond to applicant inquiries, and prepare applicant correspondence
Administer skills testing
Schedule/plan applicant interviews and logistics; coordinate with candidates, agency recruiters, internal managers and Conference Services
Conduct reference checks and employment verifications
Assist in extending offers and preparing offer letters
Execute hires in viRecruit and Workday
Responsible for flagging viRecruit and Workday hire business process issues; facilitate fixes by working with systems analysts
Gather information for new hire preparations; coordinate with staff recruiters and hiring managers to disperse internal arrival notifications and new hire workspace set-ups
Register daily applicant/visitor list with Client Services and HR reception
College degree preferred
Prior HR/recruitment support experience, ideally in a law firm/corporate recruitment setting
Proven organizational skills and attention to detail
Facility with MS Office including Outlook and calendaring
Database experience and highly accurate data entry skills; prior experience with an HRIS and/or applicant tracking system strongly preferred
Effective verbal and written communication skills
Exceptional customer service skills
Ability to lead and facilitate small group meetings
Flexibility to work occasional overtime and/or alternative hours to meet the needs of the department
Ability to maintain confidentiality and appropriately handle sensitive candidate and personnel information.
