About Us
The Bookkeepers Marketplace connects business owners with rigorously vetted, trained bookkeeping professionals through a fast, simple matching process. We're growing quickly and need a detail-oriented Virtual Assistant to help keep our applicant pipeline and marketing presence running smoothly day to day.
What You'll Do:
Estimated Time: 10-15 hours per week
Applicant & Intake Management (currently in Jotform) and update forms as needed
Participate on new website platform development calls to share process ideas
Applicant & Intake Management
Monitor and process incoming bookkeeper applications daily
Track applicants through each stage of the vetting pipeline (application received, under review, assessment, approved/rejected)
Follow up with applicants on missing documents, resumes, or certifications
Flag qualified candidates for founder review
Respond to routine applicant questions via email
Advertising & Platform Management
Web marketing skills is a huge plus!
Post and refresh job/recruitment ads across platforms (Facebook, Instagram, Craigslist, business directories, chambers, and others as directed)
Monitor ad performance and response volume, and report back weekly
Update ad copy and creative as provided
Repost or renew listings on a regular schedule to keep them active
Respond to basic inquiries generated from ad postings, or route them appropriately
General Support
Maintain simple trackers/spreadsheets for applicant and ad status
Flag issues or bottlenecks proactively
What We're Looking For
Web marketing experience!
Strong written English communication skills
Highly organized, with excellent follow-through on multi-step processes
Comfortable managing recurring tasks independently with minimal oversight
Experience with applicant tracking, recruiting coordination, or customer service preferred
Experience posting ads on Facebook and/or Craigslist a plus
Comfortable with Google Sheets/Docs and email-based workflows
Must be very organized with strong attention to detail
Available for weekly calls (minimum)
Second language is a plus
Reliable, responsive, and detail-oriented — this role is the first impression many applicants have of our company
Hours & Compensation
Flexible, part-time hours to start, with potential to grow based on performance and business needs
