Portfolio and Leasing Manager
Primary Purpose of the Job
Deliver leadership and top-quality management services to the Homeowner’s Associations and rental properties we service. Work directly with the Board of Directors / Trustees/resident of the communities and tenants/owners of our rental properties. Report to the President of the company.
Essential Duties and Responsibilities
Administration – Financial Reporting & Budget Administration and Leasing
o Complete responsibility for all management services at the property.
o Maintain records for all aspects of the operation of each Association.
o Prepare written Monthly Management and Financial Reports for the Board of Directors, to be discussed during scheduled Board Meetings. The report includes, but is not limited to the following information: budget variance explanations, status on delinquencies, current funding, site inspections reports, progress of subcontractors and/or employee repair and maintenance work, emerging problems with grounds and building recommendations for future action, upcoming contracts, covenant violations, closed cases, insurance status reports, parking and towing violation log, and actions involving security and vandalism.
o Prepare an annual draft budget for the Board’s review and approval.
o Inspect and coordinate maintenance for all common elements to include physical plant that generates energy to all units/homes.
o Act as the liaison for the Board of Directors.
o Ensure that all rules and regulations that govern the Association are enforced and coordinate notice of violations and Hearings as appropriate.
o Obtain competitive bidding for all contracts based on written specifications, with the
final decision made by the Board of Directors.
o Manage all leasing matters (which includes but not limited to: Advertise unit, showings and open houses, application approval, leasing, notice to vacates, turnover, security deposit reconciliation and disbursements, etc.)
o Point of contact for prospective leasing and management clients
o Negotiate contracts and update the contract analysis for associations.
o Perform bi-weekly inspections of buildings and grounds.
o Perform monthly inspection of preventative maintenance logs and ensures compliance with schedule.
o Ensure quality control of employee workmanship, contractors, and competitive pricing.
o Provide the Association with options regarding energy management and capital expenditures.
o Oversee contractor activities to include receiving certificates of insurance, copies of bonds, manufacturer’s warranties, release of liens, reviewing and enforcing the quality of workmanship and warranties.
o Process incident/accident reports and insurance claims, handle potential litigation requests, and follow through with the direction of the Board of Directors.
o Attendance at Board Meetings per Management Contract Requirements.
o Maintain a calendar/recurring tasks of contracts, expiration dates, and key dates in the competitive bidding process for all contracts.
o Coordinate maintenance on all common elements to ensure working order.
o Ensure and provide for all standard operating procedures for all maintenance activities, develop and maintain preventive maintenance and inventory program for mechanical, plumbing and electrical equipment, common element heating and cooling systems and commonly used spare parts for repairs.
o Provide qualified personnel to conduct annual, and as needed, inspections of the common elements and submit a quarterly inspection report to the Board with the inspectors’ recommendations.
o Develop a description of procedures for contract inspections and performance monitoring.

• Associate degree; or equivalent from a two-year college or technical school; or 3 or more year’s related experience and/or training; or equivalent combination of education and experience.
• Physical Demands: 40-hour work week typically 8:00 A.M. – 5:00 P.M, Monday through Friday. Work week may require after hours and weekend work/meetings and the ability to respond to on-call requests to respond to emergencies.
Compensation and Benefits:
Annual Salary: $70,000 - $90,000 plus leasing commissions, based on experience
