Client Coordinator (Brookeville, MD)

Our senior staff are certified in Bookkeeping and QuickBooks, and ensure the quality of the services we provide.

THE ROLE
We’re hiring a Client Coordinator who will ensure that our clients’ experience is both pleasant and professional, while ensuring timely, efficient communications and information flow between clients and their assigned bookkeepers.
The Client Coordinator will be responsible for:
‐ Serving as the main point of contact for clients
‐ Onboarding new clients
‐ Obtaining needed information from clients in a timely manner (for initial setup and for monthly/quarterly/annual close and payroll deadlines)
‐ Ensuring client confidential information is securely transmitted and stored
‐ Ensuring that client work is tracked accurately in the company work management system

WHAT YOU WILL DO:
‐ Respond to client inquiries
-- Note questions and either obtain answers from bookkeepers and provide to client, or arrange for calls or meetings between bookkeepers and client, based on guidance from owner on when to involve bookkeepers
-- Report issues to owner and/or bookkeepers for resolution, based on guidance from owner on when to escalate
‐ Help to develop and implement a consistent onboarding process
-- Gather all information needed to get new clients set up properly in our systems
-- Communicate with client during the onboarding process to keep them informed of the process and status, and to obtain needed information from them
‐ Plan for and collect standard monthly information from clients (bank statements, receipts, etc.)
‐ Use existing Microsoft tools (secure email, Teams, etc.) to ensure all confidential/financial information is transmitted securely between clients and Saul Bookkeeping and stored appropriately
‐ Maintain client‐related work in the company work management system
-- Enter standard bookkeeping, communications, and other tasks in the system and assign to appropriate staff
-- Monitor progress on all client accounts to ensure monthly, quarterly, and annual close deadlines are met, and report on work status to owner and team
-- Schedule meetings between clients and owner/bookkeepers as needed (e.g., regularly quarterly reviews)

SKILLS:
‐ Clear, concise, professional communications when interacting with clients and colleagues.

‐ Strong verbal and written business communications skills.
‐ Understanding of basic bookkeeping/accounting concepts, terms, and reports to be able to accurately communicate requests and issues between clients and bookkeeping staff.
‐ Proficient in Microsoft Word and Excel, especially creating and using Excel functions.

EXPERIENCE:
‐ At least three years’ experience in managing client relationships, with at least one year being responsible for client project tracking and status updates on behalf of a project team.
‐ At least two years’ experience in tracking and reporting work status in an online work management system (such as Asana, Todoist, Teams, Trello, or similar).
-- Preferred: at least one year managing such a system for multiple users, including adding new users, and ensuring accurate tasks and work status in the system.
‐ At least two years’ experience working on a team in a support position, helping colleagues to be as productive as possible.
‐ Experience in maintaining organized digital files, emails, notes, and other information for client accounts, preferably in a secure file environment.
‐ Experience in onboarding new clients and creating a positive work relationship from the start.
‐ Basic knowledge of bookkeeping and accounting terms, to be able to understand requests and communicate effectively between clients and bookkeepers.
‐ Proficient in standard office programs and online communications tools (Microsoft Word and Excel; Dropbox, Google Drive)
‐ Preferred:
-- Experience in a small office environment.
-- Experience in successfully working remotely.
-- Experience working in a seasonal business.
‐ Able to keep information, files, and communications organized and accurate, even under tight deadlines or other work pressures.
‐ Positive attitude, good work ethic, patience, and ability to handle unexpected situations and tasks effectively.
‐ Proven ability to work in a team, specifically to support colleagues to get their work done efficiently and keep their customers satisfied. Collaborative and cooperative.
‐ Motivated to help team and company improve and grow successfully.

Other requirements:
‐ Must own a current PC (not Mac) laptop or tower (desktop) that can be used for company work.
‐ Must have a reliable internet connection with speeds of 50mbps or greater.
‐ Must have a phone that can be used for work calls.

The Client Coordinator will initially be a part‐time hourly position (5‐10 hours/week) expanding to full‐time hourly as the client base grows. This position reports to the owner. Work will be performed remotely during regular office hours (Monday‐Friday, 9am – 5pm Eastern time). Candidates must be able to demonstrate their eligibility to work in the United States.
