About the Role
Coffee Shop is looking for an Event Coordinator to plan and run events at the café, end to end — from first vendor email to final walkthrough.
Responsibilities
Proactively identify and pitch event opportunities (watch parties, vendor collabs, speaker nights, etc.) — this is not a reactive, inbound-only role
Communicate with vendors/clients via email to confirm cost, timing, and materials needed
Set up the space: chairs, tables, microphone, sound system, and Wi-Fi access
Manage invites — create, post, and track them
Coordinate social media promotion, whether handled in-house or by the vendor
Get owner approval on all key decisions and costs
Confirm landlord approval before booking or confirming any event
Source and acquire any additional equipment needed
Troubleshoot day-of issues to keep the event on track

Organized, deadline-driven, and calm under pressure
Pay Structure — Flat Rate Per Event
Every event falls into one of three complexity tiers based on setup demands. Pay is a fixed dollar amount per event — no hourly rate.
Tier 3 — Complex (e.g., speaker night: full sound system, mic, live intro). Covers full AV/sound setup, speaker coordination and live intro, invites, social promo. Flat fee: $175
Sales bonus (any tier): if event-day sales beat the daily baseline by 20%+, add $25. If sales beat baseline by 40%+, add $50 instead (not stacked).
Examples:
Super Bowl watch party → Tier 1 → $100 ($125–150 with bonus)
Vendor pop-up collab → Tier 2 → $130 ($155–180 with bonus)
Multivendor pop up or Speaker night with moderation→ Tier 3 → $150 ($200–225 with bonus)
This is a flexible pay schedule and may change based on candidate experience, skill set, and the Execution of the event as it becomes available. Pay will be adjusted for each event based on performance.
