So this is kind of an unusual Virtual Assistant opportunity. We need help for roughly 20 hours per week, but there is an opportunity to work full-time as well, up to you. We're looking for someone super organized, good with computers, and able to write. You'll be helping the owner of a small ecommerce business with a wide range of office, administrative and operations tasks, from light bookkeeping using Quickbooks to making travel arrangements, to helping with international importing and general office tasks.

The Green Group is profitable small-business eCommerce company. We've been in business for 15 years and we operate websites, like glowuniverse.com and protelescope.com. We also sell tens of thousands of items per year on marketplaces such as Amazon.com, Walmart.com eBay, Jet.com, Newegg.com, and Buy.com Our eBay "handles" include top-seller accounts such as taximarket, glowuniverse, and bodymade. We work operate a warehouse and office in the Baltimore area. We work regular business hours M-F. For this position we can accept quite a bit of flexibility in your availability, but you need to be available daily and during big chunks of regular time between 9:00 a.m. and 6:30 p.m. Eastern Time.

Job Description:

This Admin Assistant will do light bookkeeping for the company on sensitive areas. We use Quickbooks Premier 2013. This includes managing cash balances among various accounts. Monitoring corporate credit card activity and paying balances, regular A/R reporting and follow-up. You'll also write up Purchase Orders from vendors and validate receipt of inventory. We would like you to distribute all incoming A/P bills as well. You'll help out with end-of-month accounting functions like report and data gathering. You will pay sales taxes.

The job also has human resources functions. You'll manage some light payroll processing (mostly checking employee hours) and track everyone's vacation time as well as process 401(k) data files. You'll keep a master calendar of employee milestones.

In import operations, we want you to coordinate all of our inbound freight. This will involve coordinating with overseas suppliers and our US customs brokers. Updating and tracking inbound ocean containers, and managing import documentation. You'll do some import analysis on freight costs. (Experience here is helpful but not required, we can train you!).

There are other general operational tasks as well. You'll run daily sales reports of various kinds, as well as track and report on certain advertising spending. There are personal assistant admin tasks like answering correspondence, managing the Owner's calendar, booking travel (business and personal) and so forth.

If you are interested in more full-time work. You will have a chance to write ecommerce copy for products and produce content. We can also train you in customer service and technical support for any of our product lines or websites, so that you can provide overflow support for our customer care team.

Job Requirements:

First and foremost and above all, this job is for a hyper-organized person. A detail person. Someone with systems and methods. Ways of getting lots of little things done and not missing details. We have lots of tasks that happen monthly, or weekly, or bi-weekly, or quarterly. If organization and attention to detail is your thing, then this might be the right job for you.


Next, you should be a natural computer geek. Well, a professional and somewhat polished computer geek, but a geek at heart to say the least. The point is, we are only going to consider you if you have exceptional computer skills. By exceptional, we mean really, really good. We're not kidding about this. You should have deep knowledge of the core Windows-based applications -- Word, Excel & Outlook. And understand browsers such as IE, Safari, Firefox or Chrome. While this is not a technical position, We will only consider very tech-savvy candidates. We can't emphasize this enough. If you are using the mouse to copy/paste this is not the job for you. Computers are your friend.

While this is a remote work opportunity, we want someone who is able to drive to our offices near Baltimore for in-person training. We would expect there to be in-person training 2 to 3 times per year and this would likely require 1-2 days overnight. We would pay all your expenses associated with this travel.

Flawless written and spoken English is mandatory. If you can't put together a professional, grammatically correct sentence without exerting yourself, this is not the right opportunity for you. We value productivity and speed. So candidates must have very strong typing skills and be very familiar with Windows keyboard shortcuts.

It would be helpful if you have some experience with Quickbooks and have some background with basic bookkeeping tasks.

Of course, you have to have your own PC and you must have Skype and a PC microphone and headphones so we can talk to you that way. Since you'll be answering the phone and talking to customers and vendors, we're afraid you'll also have to project a confident, professional demeanor. If that's not too much to ask, read on.
