Our company is a mid-sized business located in Rockville, MD 20852, and we are looking for a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will provide administrative and clerical support to ensure efficient day-to-day operations, assist project teams, maintain documentation, and coordinate with internal departments, clients, and vendors.
No remote work. The interview and the position will take place onsite.
Responsibilities
• Manage phone calls, emails, and correspondence in a professional and timely manner.
• Prepare, format, and proofread reports, contracts, meeting minutes, and other documents.
• Maintain office supplies inventory and place orders as needed.
• Assist with preparing and tracking project documentation, including contracts, submittals, and change orders.
• Support billing processes, track invoices, and coordinate with accounting.
• Help with bid preparation, subcontractor documentation, and compliance paperwork.
• Coordinate between project managers, field teams, subcontractors, vendors, and clients.
• Schedule and coordinate meetings, site visits, and inspections.
• Maintain internal databases and spreadsheets for construction and engineering projects.
Qualifications & Requirements
• Associate or bachelor’s degree (Preferred).
• 2+ years of administrative experience (construction or engineering industry preferred).
• Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong organizational and time management skills with attention to detail.
• Excellent written and verbal communication skills.
• Ability to handle sensitive information with confidentiality.
• Knowledge of construction project processes and terminology is a plus.
