Bike to the Beach is seeking a Logistics Assistant to obtain event permits, event approvals, and road allowances for our six (6), 100-mile charity cycling events. This will require adherence to and approval from State, County, Town, Village, and City authorities in each event location: the Bay Area, New York, Washington, DC, Boston, and Houston. The position will require 2-4 hours per week and can be done remotely or at our office in Washington, DC.
Bike to the Beach has hosted and permitted its charity bike rides in each event location in past years, ranging from 2-11 years depending on market. As a result, our logistics team has an existing process and a past catalog of notifications, approvals, and permits.
We have also worked with local jurisdictions to provide police presence and support along our route to ensure the safety and visibility of our riders and to allow usage of parks and special locations to host our water stops along the route for rider nutrition and hydration.
The position would require the individual to:
• Review the route and confirm list of all involved jurisdictions.
• Update and research all appropriate points of contact and contact information.
• Send event notifications and submit permits, where appropriate.
• Follow up with jurisdictions to ensure timely approval; and,
• File all approvals for the event
The position will take steady, weekly work with a large portion of time spent ensuring permits and notifications are received and that there are no outstanding items needed to ensure final approval. Jurisdictions have varying processes and technology for submission: ensuring that each is done in accordance with local processes and with the correct supporting documentation is critical.
The position will take 2-4 hours per week with an increased time commitment near event dates, pending the success of approvals over the preceding months.

Location: We would expect the individual to be responsive to emails from staff throughout the week, and to have “check-in” web meetings with staff (every two weeks or as required).
• The individual could work remotely or from our office. Bike to the Beach would cover all fees associated with mailing and filing of documentation.
The contracted individual must be organized, fluent in English with, and confident working with Microsoft Excel and Word. Individuals with past regulatory, government, police, or fire service are preferred.
